A clear account of what we collect, why we collect it, how long we keep it, and what you can ask us to do about it. We tried not to write this in legalese.

We are TeleMatrix Global Pvt. Ltd. (TeleMatrix Global), a senior product and operations team headquartered in Kolkata, India. We respect your privacy and we keep what we collect to the minimum we need to run our business with you.

  • We collect only what you submit to us through contact forms, role applications, the newsletter form, and standard server logs.
  • We do not sell your personal data, ever. We do not run advertising trackers on this site.
  • We do not train AI models on your data unless you have explicitly contracted us to do so.
  • You can ask for a copy of your data, ask us to correct it, or ask us to delete it. Email support@telematrixglobal.com and we will respond within 30 days.

02 · Who we are

This policy applies to the website at https://telematrixglobal.com and the services TeleMatrix Global provides to its clients. We are the data controller for personal data you submit through this site.

03 · What we collect

We collect personal data in three ways: (a) what you submit through forms on this site, (b) what your browser sends to our server when you load a page, and (c) what you send us by email or phone.

Form submissions

When you submit the contact form (project inquiry or role application), the newsletter form, or any other form on this site, the data is sent to /contact.php on our server and forwarded by email to support@telematrixglobal.com. Depending on the form, this can include:

  • Name, work email, phone, company
  • Project interest (which service), budget range, and the project context you write in the message field
  • For role applications: role you applied for, LinkedIn URL, resume / portfolio URL, and your cover note
  • For newsletter: only the email address you submit

Server logs

Every form submission is appended with your IP address and User-Agent string so we can triage abuse and spam. Our web host (Bluehost) also maintains standard HTTP access logs that retain IP, request URL, and timestamp for a short period.

What we do NOT collect on this site

  • No third-party advertising trackers
  • No fingerprinting or session replay
  • No social-media pixel tracking
  • No behavioural analytics by default · if we later add a privacy-friendly analytics tool, this policy will be updated first

04 · How we use it

We use personal data only for the following purposes:

  • To reply to your inquiry. If you submit the contact form, we reply to discuss your project. A senior person on the relevant team handles it.
  • To process applications. If you apply for a role, your details go to the hiring team for that role only.
  • To send the field journal. If you subscribe, we send roughly one editorial email a month. You can unsubscribe at any time by replying to any of those emails.
  • To run our business. Once you become a client, we use your contact details to communicate about the work, send invoices, and meet our legal obligations.
  • To defend against abuse. We use IP and User-Agent logs to detect and block automated abuse of our forms.

05 · Lawful basis (GDPR)

If you are in the European Economic Area, the United Kingdom, or another GDPR-aligned jurisdiction, our lawful bases for processing your personal data are:

  • Legitimate interest · replying to inbound inquiries, defending our forms against spam.
  • Consent · newsletter signups. You can withdraw consent any time.
  • Contract · once we are working together, to deliver the services you have engaged us for.
  • Legal obligation · tax, accounting, and fraud-prevention records.

06 · Sharing & processors

We do not sell, rent, or barter your personal data. We share it only with carefully selected service providers (data processors) we use to run the business:

  • Bluehost

    Web hosting and email delivery

    Hosts this website and routes form submissions to our inbox.

  • Google Workspace

    Business email

    Our inbox at support@telematrixglobal.com runs on Google Workspace.

  • WhatsApp Business (Meta)

    Customer messaging

    If you contact us through the WhatsApp floating button, your message and phone number are shared with Meta under their Business Messaging terms.

We may also disclose data when legally required (court order, lawful regulatory request) or to protect our rights or those of others.

07 · How long we keep it

We don’t keep personal data longer than we need to:

  • Project inquiries that don’t convert: 24 months, then deleted.
  • Client records: for the life of the engagement plus 7 years (Indian and EU accounting / tax requirements).
  • Role applications: 12 months from the close of the role, then deleted unless you ask us to retain on file.
  • Newsletter subscribers: until you unsubscribe, then we keep your email on a suppression list so we don’t accidentally re-add you.
  • Server access logs: 90 days, then rotated out by our host.

08 · Security

We take reasonable technical and organisational measures to protect personal data:

  • HTTPS is enforced site-wide; we don’t accept form submissions over plain HTTP.
  • Form submission endpoint guards against header injection and rejects payloads without a valid email.
  • A honeypot field is used to silently discard spam.
  • Access to our inbox is protected by multi-factor authentication. Internal access is on a need-to-know basis.
  • Client engagement data is held under the controls we describe in our procurement documentation (SOC 2 Type II aligned, ISO 27001:2022, GDPR / HIPAA / PCI DSS readiness).

No system is ever 100% secure. If we ever discover a personal data breach that meaningfully affects you, we will tell you and the relevant regulator within the timelines the law requires.

09 · Your rights

Depending on where you live, you may have any or all of the following rights. We will honour them regardless of where you are, within reason:

  • Access · ask us what personal data we hold about you.
  • Correction · ask us to fix anything that is wrong.
  • Deletion (right to be forgotten) · ask us to delete your data. We will, unless we are legally required to keep it (e.g. for tax records).
  • Portability · ask us to send you a copy of your data in a machine-readable format.
  • Objection / restriction · ask us to stop or pause certain uses of your data.
  • Withdraw consent · for anything you consented to (mainly the newsletter).
  • Complain to a regulator · in the EU/UK, the Information Commissioner’s Office (or your local DPA). In India, the Data Protection Board.

To exercise any right, email support@telematrixglobal.com. We respond within 30 days and we do not charge a fee unless the request is unfounded or excessive.

10 · Cookies & tracking

This site uses no advertising cookies and no third-party trackers by default. We may set short-lived first-party cookies if we ever add a preference control (e.g. saving your reduced-motion preference). When we do, we’ll update this policy and add a cookie banner if applicable.

Your browser may send standard request headers to our server (User-Agent, Referer, IP), which we log as described above. These are not cookies.

11 · Children

Our services are designed for businesses, not children. We do not knowingly collect personal data from anyone under the age of 16. If you believe a child has submitted information, please email support@telematrixglobal.com and we will delete it.

12 · International transfers

TeleMatrix Global operates from India, with team members in multiple regions. When you submit personal data through this site, it may be transferred to and processed in any country where our team or our processors operate, including India, the United States, and the United Kingdom.

For transfers out of the European Economic Area or the UK, we rely on Standard Contractual Clauses, adequacy decisions where applicable, and the operational safeguards described in this policy.

13 · Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top of the page always reflects the current version. Material changes will be flagged on this page; if the change is significant enough that we need your fresh consent, we will ask for it before relying on it.
